This policy covers arkansaska.com, the website of the Alpha Omicron Alumni Chapter of Kappa Alpha Order. It explains what we collect, why, and what you can ask us to do about it.
The short version: we collect contact information so we can reach alumni about chapter news and events, and we process dues payments through Stripe. We do not sell, rent or trade your information, and we do not share it with advertisers.
What we collect
Alumni roster
When you submit the alumni roster form we collect your first and last name, email address, phone number, mailing address, pledge class year and, if you provide it, graduation year. All of it is information you type in yourself.
Membership and dues
When you become a member, payment is handled by Stripe. Stripe collects your name, email address, phone number, billing address and card details. Card numbers never reach this website or the chapter. We receive a record of the transaction from Stripe: your name, email, phone, billing address, membership tier, amount and subscription status. We use that record to add you to the roster and to know your membership is current.
Technical information
Our host records standard server data such as IP address, browser type and the pages requested, in the ordinary course of serving the site and defending it from abuse.
This site does not run advertising trackers, and it sets no cookies of its own. Stripe sets its own cookies on its checkout pages, which are governed by Stripe's privacy policy rather than this one. We load typefaces from Google Fonts, which means your browser makes a request to Google when a page loads.
How we use it
- Sending chapter newsletters, event announcements and alumni weekend details
- Maintaining the alumni roster so brothers can be reached and reconnected
- Processing dues, issuing receipts and tracking membership standing
- Ordering and shipping chapter apparel earned at a membership tier
- Coordinating with the Active Chapter and Kappa Alpha Order on chapter business
- Protecting the site and its forms from spam and misuse
We do not use your information for advertising, and we do not build profiles on you.
Who we share it with
We share information only with the services that make the site and the chapter work, and only as far as each needs:
- Stripe
- Payment processing for dues and membership subscriptions
- The roster is stored in Google Sheets on a chapter-controlled account
- Cloudflare
- Website hosting and delivery
- Apparel vendors
- Name, shipping address and size, only when we are sending you an item
Chapter officers and volunteers who run the roster, the newsletter and events can see roster information. We may disclose information if the law requires it, or where it is necessary to protect the chapter, its members or the site from harm or misuse.
We never sell, rent or trade your information.
The chapter's private Facebook group is operated on Meta's platform. Anything you post or share there is subject to Meta's own terms and privacy policy, not this one.
How we protect it
The site is served over HTTPS. Roster submissions are validated and spam-checked on the server before anything is written down, and the roster spreadsheet is restricted to chapter officers who need access. Payment credentials are handled entirely by Stripe, a PCI-compliant processor, and are never stored by us.
No method of transmitting or storing information over the internet is completely secure, and we cannot guarantee absolute security.
How long we keep it
The alumni roster is a long-term record. We keep your information for as long as you are an alumnus of the chapter, or until you ask us to remove it. Payment records are retained as long as needed for accounting and for the chapter's own recordkeeping. Stripe keeps its own transaction records under its retention terms.
Your choices
- Update your information. Resubmit the roster form with your new details and we will update your existing record.
- Ask for a copy. Email us and we will tell you what we hold for you.
- Correct or remove it. Email us and we will fix or delete your record. Removing it means we can no longer reach you about chapter business.
- Stop receiving email. Use the unsubscribe link in any newsletter, or email us.
- Cancel your membership. Cancel from the link in your Stripe receipt, or email us and we will cancel it for you.
- Skip the form. You are welcome to email us your information instead of using the website.
Children
This site is meant for alumni of Kappa Alpha Order and is not directed at children. We do not knowingly collect information from anyone under 18. If you believe a minor has submitted information to us, contact us and we will remove it.
Changes to this policy
We may update this policy as the site or the chapter changes. The date at the top reflects the most recent revision. Material changes will be announced in the chapter newsletter.
